CURRICULUM AND INSTRUCTION SECRETARY
                 (for Reading Partner, Title 5 & 7/School to Careers/Summer School)

I. ACCOUNTABILITY OBJECTIVES:

Performs clerical support tasks according to prescribed policies and procedures.

II. POSITION CHARACTERISTICS:

Salary: On schedule
Length of contract:  12 months

III. POSITION RELATIONSHIPS:

Reports to: Executive Director of Instructional Services
Coordinates with: Curriculum Dept. staff
Type of coordination:  As directed by administrator or others with coordination responsibilities

IV. POSITION QUALIFICATIONS:

  1. Required training and experience: High school graduate and supplemental advanced coursework or an Associate of Arts degree from a vocational school with emphasis on administrative assistant training.; recent responsible office experience that included working with a computer and a variety of software as the primary office tool for data management; high level of experience/training in Microsoft software programs, especially Excel, Word and Access; experience in transcribing dictation from a Dictaphone.
  2. Desired training and experience: Experience with Microsoft Outlook and Internet Explorer software programs; experience with Federal/State grants; experience with management of financial records.
  3. Special requirements of the position:
    1. Ability to work independently with minimal supervision 
    2. Ability to establish and maintain effective working relationships with a large and varied group of district personnel 
    3. Ability to conduct business via the phone in a pleasant, helpful and professional manner 
    4. Ability to acquire and maintain knowledge of the identified grant programs, their operations and policies 
    5. Ability to work with the district's financial software program, Bi Tech 
    6. Ability to maintain complete/accurate department budgetary records using the Microsoft Excel program 
    7. Ability to maintain the rosters of grant-funded positions using Microsoft Access program and to coordinate/verify the data with the district's Personnel Office 
    8. Knowledge of business English, spelling and composition 
    9. Ability to type from plain copy, rough draft and tabular material, and to transcribe dictation 
    10. Ability to maintain accurate and complete records and prepare clear and detailed reports

  1. Provides clerical support to 9-12 Curriculum Coordinator, American Indian Education Coordinator, Summer School Supervisor, and Reading Partner Program.
  2. Is responsible for processing purchase requisitions/orders, invoices, and time cards for the following programs and grants: Title V (including the parochial schools), Title VII, Carl Perkins, Youth Apprenticeship, Summer School and any other identified grants.
  3. Maintains budgetary/expense records and local reports for above listed programs and Grants. Needs to be knowledgeable regarding electronic submission of grant budget revisions, where applicable.
  4. Assists with Summer School and Federal/State grant applications, reports, and evaluations. Keeps up to date on current electronic submitting procedures for the identified applications, reports, and evaluations.
  5. Provides summer school support by processing student registration forms, compiling class lists, cumulative attendance reports, and handling communication and mailings.
  6. Coordinates clerical support work with other Curriculum Department staff as workload within the department requires.
  7. Attends appropriate meetings, workshops, inservices, etc.
  8. Assists with the distribution of standardized testing materials.
  9. Maintains building profile report
  10. Performs other duties as assigned.
