ELEMENTARY SECRETARY

I. ACCOUNTABILITY OBJECTIVES:

Under administrative direction, performs responsible office work involving independent judgment and initiative; serves as the private secretary to an elementary school principal; performs related work as required.

III. POSITION RELATIONSHIPS:

Reports to: Building Principal
Coordinates with: Building staff, students
Types of Coordination: As directed by administrator or others
with coordination responsibilities.
Supervises: CVTC interns, parent volunteers, students

IV. POSITION QUALIFICATIONS:

  1. Desired training and experience: graduation from high school supplemented by advanced secretarial training; recent responsible secretarial experience; computer/word processing
    experience and/or training; knowledge of office machines, including dictaphone; experience in public relations and communication; experience in some area relating to children ages 3-13; training in basic first aid. 
  2. Special requirements of the position:
    1. Ability to use dictaphone, operate computer, electronic typewriter (minimum of 50 wpm.), and a variety of office machines, and a knowledge of modern office methods.
    2. Ability to understand and carry out oral and written instructions.
    3. Ability to maintain confidentiality of information about students, parents, staff.
    4. Ability to establish and maintain good public relations.
    5. Ability to relate to children and their personal needs.
    6. Ability to plan and layout public communiques.
    7. Ability to make referrals in the absence of the building administrator.
    8. Knowledge of business English, spelling, and composition.
    9. Ability to communicate and relate effectively with district staff, students, parents, and public.
    10. Ability to maintain accurate and complete records, and to prepare clear and detailed reports.
    11. Ability to organize and complete projects in a timely manner.

V. POSITION RESPONSIBILITIES:

  1. Answers telephone, schedules appointments for principal, refers visitors or callers to principal or appropriate person.
  2. Handles registration and withdrawal of students, including membership information.
  3. Sets up, maintains computerized attendance.
  4. Accurately prepares reports.
  5. Schedules and confirms parent/teacher conferences.
  6. Requisitions office and school supplies.
  7. Operates a variety of office machines, e.g., dictaphone, various copy machines, electronic typewriter, computers.
  8. Compiles and submits staff attendance reports to payroll.
  9. Composes/maintains student medical records, immunization records and possibly dispenses medicine.
  10. Maintains accurate in-school financial accounts.
  11. Supervises students as assigned by principal.
  12. Composes and types routine correspondence.
  13. Maintains office files.
  14. Lays out and types newsletters, bulletins, calendars.
  15. Dispenses lunch and milk tickets, takes daily count, and maintains records.
  16. Administers minor first aid; contacts parents and prepares reports.
  17. Performs other tasks as assigned.
