GENERAL SERVICES CLERK - FOOD AND NUTRITION PROGRAM

I. ACCOUNTABILITY OBJECTIVES:

The objective of this position is to provide general clerical support to the Food and Nutrition Program. The primary responsibilities of the position include handling all aspects of the USDA free and reduced meal application process, clerical support of the menu planning and distribution process, and data entry and report distribution of production forecasts and menu nutritional analysis. Duties would include data entry of free and reduced applications, meal application approval and notification of households, verification of applications, communication with households and food service staff, clerical support to monthly menu planning meetings, entry of multiple monthly menus into spreadsheet format and finished copy for customer use in publishing format, distribution of monthly menus, and data entry of meal production forecasts, printing and distribution of production and nutritional analysis reports. The position would also provide back-up support to the other clerical positions in the Food and Nutrition office.

IV. POSITION QUALIFICATIONS:

  1. Minimum required training and experience: High school graduate; supplemented by post-secondary training in advanced secretarial skills, data entry and computer software proficiency; recent successful experience as a secretary or other office professional position; highly skilled organizational proficiency and mastery of interpersonal skills.

Completion of recognized training in word processing, publishing, and spreadsheet programs, such as Microsoft Word, Publisher, and Excel. Training or experience in filing and records management. Experience in public relations and communications.

    3. Knowledge of business English, spelling, and composition. 
    4. Above average key boarding and 10 keys skills 
    5. Proficiency in database, spreadsheet, publishing, and word processing software program use. 
    6. Ability to conduct business via the telephone in a pleasant and professional manner. 
    7. Ability to deal with confidentiality.

V. POSITION RESPONSIBILITIES:

  1. Enters or updates meal/milk applications into the computer using the current application processing software package.
  2. Notifies households by letter of their meal qualification status and files completed applications.
  3. Verifies incomes of a percentage of applications that are filed as required by U.S. Department of Agriculture regulations.
  4. Answers household and school phone calls related to the free and reduced application process.
  5. Prepares annual free and reduced application for household mailing and distribution to schools.
  6. Applies for manufacturer rebates with vendor reports/invoices as required.
  7. Coordinates and attends all menu planning meetings, make notes of all menu modifications made by the menu planning committee and edits menus accordingly.
  8. Enters base cycle menus and monthly menus into spreadsheet, prepares master menus for copying, and distributes menus as requested.
  9. Enters forecast numbers and generates production and nutritional analysis reports for Kitchen Managers.
  10. Prepares correspondence as requested.
  11. Performs computer communication to move students out of district database.
  12. Performs all other duties as assigned.
