INFORMATION TECHNOLOGY EXECUTIVE SECRETARY

I. ACCOUNTABILITY OBJECTIVES:

With direction, serves as secretary to the Executive Director of Information Technology, taking care of correspondence and other communications, processing orders, keeping records, and maintaining budgetary responsibility for the Information Technology Department.

II. POSITION CHARACTERISTICS:

Salary: On schedule
Length of contract:  12 months

III. POSITION RELATIONSHIPS:

Reports to: Executive Director of Information Technology
Coordinates with: Staff Development Specialist, Data Processing Director, Network Manager, Support Services Manager and School Staff, Technology Clerk.
Type of coordination:  As directed by administrator or others with coordination responsibilities

IV. POSITION QUALIFICATIONS:

  1. Desired training and experience: Graduation from high school supplemented by advanced courses in secretarial science; recent responsible office work experience; experience/training in word processing and computers.
  2. Special requirements of the position:
    1. Ability to use and apply modern office methods and equipment, such as word processing systems, desktop publishing, electronic mail, and dictation equipment. 
    2. Effective communication skills. 
    3. Ability to manage a diverse technology budget with a complete understanding of technological terms and equipment. 
    4. Ability to enter and retrieve data from the mainframe computer and personal computer. Complete understanding of the Bi-Tech financial systems as it relates to procurements and reporting. 
    5. Ability to work accurately with figures and budgets. Ability to develop reporting systems that will accurately reflect the operation of the department. 
    6. Considerable knowledge of business English, spelling and composition.

V. POSITION RESPONSIBILITIES:

  1. Types letters, reports and other documents, and maintains accurate files.
  2. Communicates via telephone and other electronic means.
  3. Prepares newsletters and other documents utilizing desktop publishing.
  4. Maintains budgets for a diverse number of departments, coordinates with technology clerk in the receipt and reconciliation of items ordered.
  5. Directs efforts of staff development systems including Data entry on class participants from hardcopy forms and phone registrations, Notifying class participants via mail merged letters and phone, typing letters, arranging facilities for classes, Recording hours and payroll letters, generating and producing class materials.
  6. Gives information regarding departmental activities or policies in response to telephone inquiries or personal visitations.
  7. Prepare quotations, purchase orders, acknowledges receipt of orders and processes bills for payment.
  8. Researches potential products purchases and makes recommendations to IT Executive Director.
  9. Maintains budget accounts, inventories, and preview of materials records.
  10. Performs other duties as assigned.
