INSTRUCTIONAL SERVICES EXECUTIVE SECRETARY (for Executive Director of Instructional Services)

I. ACCOUNTABILITY OBJECTIVES:

Under general supervision to do responsible receptionist, secretarial and record keeping work in administration of curriculum and instruction programs, and to perform related work as required.

II. POSITION CHARACTERISTICS:

Salary: On schedule
Length of contract:  12 months

III. POSITION RELATIONSHIPS:

Reports to: Executive Director of Instructional Services
Coordinates with: Curriculum and Instruction Department, district staff
Type of coordination:  As directed by administrator or others with coordination responsibilities

IV. POSITION QUALIFICATIONS:

  1. Required training and experience: High school graduate and supplemental advanced coursework or an Associate of Arts degree from a vocational school with emphasis on administrative assistant training; recent responsible office experience that included working with a computer and a variety of software as the primary office tool for data management; high level of experience/training in Microsoft software programs, especially Excel, Word and Access; experience in transcribing dictation from a Dictaphone.
  2. Special requirements of the position:
    1. Ability to work independently with minimal supervision 
    2. Ability to establish and maintain effective working relationships with a large and varied group of district personnel 
    3. Ability to conduct business via the phone in a pleasant, helpful and professional manner. 
    4. Ability to work with the district's financial software program, Bi- Tech. 
    5. Ability to maintain complete/accurate department budgetary records using the Microsoft Excel program. 
    6. Knowledge of business English, spelling and composition. 
    7. Ability to type from plain copy, rough draft and tabular material, and to transcribe dictation. 
    8. Ability to maintain accurate and complete records and prepare clear and detailed reports.

V. POSITION RESPONSIBILITIES:

  1. Acts as secretary to the Executive Director of Instructional Services, K-8 Literacy & Assessment Coordinator, Gifted/Talented Coordinator, K-5 Art, Music, & Physical Education Coordinators, and performs clerical work for other professional staff and advisory committees.
  2. Serves as receptionist, directs calls, and coordinates correspondence.
  3. Types correspondence, reports, state grants, handbooks, and other material requiring accuracy and neatness.
  4. Composes letters and memoranda.
  5. Transcribes dictation for the Executive Director.
  6. Prepares statistical records and reports for various federal and state programs.
  7. Attends various advisory meetings; takes and distributes minutes.
  8. Makes phone calls and sends out various meeting notices.
  9. Maintains records and prepares local, state, and federal periodic reports.
  10. Provides clerical support for the Curriculum and Instruction Division budget.
  11. Orders supplies from vendors, and office equipment for the Instructional Services Department office.
  12. Types purchase orders on the computer, checks in and marks the materials ordered; approves invoices for payment for Gifted Education, Executive Director, K-8 Literacy & Assessment Coordinator, and K-5 Art, Music, & Physical Education Coordinators.
  13. Keeps the budget for Executive Director of Instructional Services, K-8 Literacy & Assessment Coordinator, Gifted/Talented Coordinator, and others as identified.
  14. Handles travel arrangements for out-of-town workshops.
  15. Processes payment for state student competition and maintains records of student travel.
  16. Provides clerical support for elementary reporting system to parents.
  17. Coordinates clerical support with other curriculum department staff, as workload within the department requires.
  18. Performs other duties as assigned.
