PUPIL SERVICES CLERK

I. ACCOUNTABILITY OBJECTIVES:

Performs responsible office work involving judgment and initiative while serving as an office assistant in the Pupil Services Department. Responsible for considerable student record keeping and to perform other related work as required.

II. POSITION CHARACTERISTICS:

Salary: On schedule
Length of contract:  194 days/school year

III. POSITION RELATIONSHIPS:

Reports to: Director of Pupil Services
Coordinates with: Student Services Department, District Staff
Type of coordination:  As directed by administrator or others with coordination responsibilities

IV. POSITION QUALIFICATIONS:

  1. Desired training and experience: graduation from high school and additional training in secretarial skills; recent office experience in position involving public contact; experience/training in word processing and computers.
  2. Special requirements of the position:
    1. Knowledge of modern office methods and procedures including typing, keyboarding and word processing programs. 
    2. Ability to keyboard from plain copy, rough draft and tabular material at a minimum rate of 60 net words a minute. 
    3. Ability to perform varied and difficult clerical tasks including reproduction and collating of materials, filing, and maintaining records. 
    4. Ability to operate a variety of modern office equipment. 
    5. Ability to maintain accurate and complete records and prepare clear and detailed reports. involving attendance, enrollments, progress of students, evaluations, etc. 
    6. Ability to recognize and follow through on potential problems or inconsistencies within prescribed procedures, and to assist in developing new record keeping/reporting procedures. 
    7. Ability to make decisions within the scope of assigned responsibility. 
    8. Ability to demonstrate positive human relations and communications skills. 
    9. Ability to maintain confidentiality.

V. POSITION RESPONSIBILITIES:

  1. Maintains positive public relations with staff and general public.
  2. Coordinates, prepares, and maintains the district census data for the "99" file.
  3. Maintains ongoing communication with area non-public school systems for updating census data.
  4. Coordinates, prepares, and maintains the monitoring system for home-based education students (i.e., students who are home schooled).
  5. Maintains forms needed for Pupil Services Staff.
  6. Assists with department mailings and copying projects.
  7. Assists with special projects.
  8. Gives information regarding departmental activities or policies in response to telephone inquiries or personal visitations.
  9. Serves as back-up receptionist for answering/directing calls or messages.
  10. Performs other duties as assigned.
